Our client is seeking a Business Process Optimization System Coordinator IN Miami, FL .

Skills & Requirements

• Must have 2+ years of experience managing administrative tasks related to internal systems in large enterprise environments
• Must have strong ability to maintain data accuracy and validate system information
• Must have experience handling support requests and tracking ticket resolution across teams and vendors
• Must be proficient in creating and maintaining documentation such as SOPs, user guides, and FAQs
• Must possess excellent organizational and time management skills to manage competing priorities
• Must have strong communication and collaboration skills across cross-functional teams

A minimum of two years college or trade school certification, Bachelor’s degree preferred.
1–2 years in an administrative, operations, or systems support role.

Strong proficiency with Microsoft Office (Word, Excel, Outlook, PowerPoint).
Experience with ticketing or case management systems preferred.
Excellent organizational and time management skills with the ability to manage competing priorities.
Strong communication skills for both internal and external stakeholder interactions.
Detail-oriented with strong follow-through and accountability.
Team-oriented, collaborative, and adaptable in a fast-paced environment.
Job description

The Business Systems Coordinator supports the Business Process Optimization team by managing day-to-day administrative activities related to internal systems. This role focuses on maintaining data accuracy, managing support requests, and ensuring documentation is current and accessible. By streamlining administrative workflows and serving as a point of coordination for system-related tasks, theSystem Coordinator contributes to operational efficiency, timely issue resolution, and the overall success of business process improvements.
This role supports the Commercial Operations department by ensuring that system data and documentation are properly maintained, and that support processes run smoothly. The Coordinator helps drive efficiency and effectiveness across multiple systems and vendors by serving as an administrative and operational anchor.
Position reports directly to the Manager, Business Process Optimization. The role requires daily collaboration with internal teams (Commercial Operations), and external vendors for ticket resolution and system support. Success in this position depends on strong organizational skills, attention to detail, and the ability to manage multiple requests while meeting deadlines.

Job Responsibilities:

• Maintain system data integrity by loading, updating, and validating information in internal platforms to ensure accuracy and availability for business users.
• Submit, monitor, and follow up on support tickets (internal IT and external vendors) to ensure timely resolution of system-related issues and escalations.
• Create and update documentation including user guides, standard operating procedures, FAQs, and training materials to support system adoption and knowledge sharing.
• Serve as the first line of support for system-related questions, providing guidance to internal teams and escalating issues as needed.
• Track and report on open items (tickets, requests, enhancements) to ensure accountability and timely completion.
• Assist with testing and validation of system enhancements, upgrades, or fixes to confirm functionality before deployment.
• Coordinate with cross-functional stakeholders (IT, Operations, Compliance, and other departments) to align on system processes and resolve issues.
• Perform additional administrative tasks as assigned to support the Business Process Optimization team.
